Frequently Asked Questions

Question How to stop receiving junk mails (Spam) ?

Answer Currently, there is no perfect solution to stop junk mails (spam), sometimes a legitimate email will be treated as spam. You should understand the drawbacks before you configure your computer for this.

SXL mail server is configured with advanced spam-filter system, which is automatically installed for all customers.

Our spam-filter system will go through the following steps to decide whether a mail is a spam or not.

1. check two popular spam-black-list (DSBL and SpamCop) for the IP address of the sender
2. check for some bad phrases in the message, such as "buy porn videos", "earn money by surfing"...
3. check for special features in the message, if a message contains more then 2 special features (images, hyperlink, tables, scripts, etc), then the mail is treated as spam
4. statistical analysis - which checks each word in the message and evaluate how often each word is appearing in spam.
5. if the message is evaluated as spam, the word "[spam]" will be inserted in the message subject.

You can create Rules in your email program to filter these spams by checking the subject line.

-----------------------------------------
Example for Microsoft Outlook 2003
-----------------------------------------
1. close all other programs, open Microsft Outlook 2003
2. click Tools > Rules and Alerts
3. click New rule
4. choose "Move message with specific words in subject to a folder"
5. click "specific words" and add the word [spam] to the list (include the brackets)
6. click "specified folder" and then choose the Deleted Items folder
7. click Next until Finish.
* you can also use Outlook 2003's own junk mail filter - click Actions > Junk Emails > Junk Email Options.

--------------------------------------
Example for Microsoft Outlook XP
--------------------------------------
1. close all other programs, open Microsoft Outlook XP
2. Click Tools > Rules Wizard
3. choose "Start from a blank rule"
4. choose "Check message when they arrive", click Next
5. in the list of conditions, check "with specific words in the subject"
6. in the rule description box, click "specific words"
7. add the word [spam] to the list, then click OK
8. click Next
9. in "What do you want to do...", check "delete it"
10. click Finish, then OK

---------------------------------
Example for Outlook Express
---------------------------------
1. close all other programs, open Outlook Express
2. click Tools > Message Rules > Emails
3. click "Where the subject line contains specific words"
4. click "Delete it"
5. click "contains specified words" and then add the word [spam]
6. click OK, Finish.

After you setup these rules, all filtered message will be automatically moved to your "Deleted Items" folder.

* The only permanent solution:
Get a new email address for business and get a hotmail/yahoo mail for internet sites.
1. never register any internet websites (especially porn and MP3 sites) with the business email address
2. never tell your business email address to someone you don't trust
3. never advertise your business email address on magazines/newspapers/websites/etc.
4. use the hotmail/yahoo mail address to register internet sites.
